{"id":49,"date":"2018-08-20T17:30:38","date_gmt":"2018-08-20T08:30:38","guid":{"rendered":"http:\/\/www-wp22.ile.osaka-u.ac.jp\/page-0\/page-0\/"},"modified":"2025-04-15T10:05:57","modified_gmt":"2025-04-15T01:05:57","slug":"format","status":"publish","type":"page","link":"http:\/\/www-wp22.ile.osaka-u.ac.jp\/eng\/collaboration\/format\/","title":{"rendered":"\u3010FY 2025\u3011Implementation Guideline"},"content":{"rendered":"<h2>ILE Collaborative Research Program Implementation Guidelines for FY2025<\/h2>\n<p>Before conducting experiments or other joint research activities, please consult and make arrangements with your Liaison Scientist.<\/p>\n<p>In addition, please contact the department in charge of your work management at your institution so that the procedure for requesting a business trip (visit) to ILE will be performed in advance.<\/p>\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li><a href=\"#1\">General Information<\/a><\/li>\n<li><a href=\"#2\">ILE Visit Application<\/a>\n<ul>\n<li><a href=\"#3\">Travel Expenses<\/a><\/li>\n<li><a href=\"#4\">Accommodations<\/a><\/li>\n<\/ul>\n<\/li>\n<li><a href=\"#5\">Purchases<\/a><\/li>\n<li><a href=\"#7\">Network Services<\/a><\/li>\n<li><a href=\"#8\">New Research Collaborators<\/a><\/li>\n<li><a href=\"#9\">Annual Report<\/a><\/li>\n<li><a href=\"#11\">Forms<\/a><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h3 id=\"1\">General Information<\/h3>\n<ul>\n<li>All ILE Collaborative Research activities should be implemented <strong><span style=\"color: #ff0000;\">on or before February 27, 2026.<\/span><\/strong><\/li>\n<li>Principal investigators (PIs) of ILE Collaborative Research Types A and B1 must submit <a href=\"https:\/\/www.ile.osaka-u.ac.jp\/eng\/wp-content\/uploads\/sites\/2\/2019\/01\/youshiki3.docx\"><strong><span style=\"color: #008000;\">\uff08Form 3\uff09\u201cAgreement Form regarding Joint Experiment and Research\u201d <\/span><\/strong><\/a>to the Liaison Scientist before starting their experiments or other joint research activities.<\/li>\n<li>As a general rule, ILE Collaborative Research Type C (Workshops) must be held at Osaka University \u201cunder the auspices of the ILE Collaborative Research Program\u201d.<\/li>\n<li>ILE Collaborative Research Funds can be used for the following:<\/li>\n<\/ul>\n<p style=\"padding-left: 40px;\">Types A and C\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Domestic travel expenses to\/from ILE<br \/>\nTypes B1 and B2\u00a0\u00a0\u00a0\u00a0 Domestic travel expenses to\/from ILE and purchase of goods or services<\/p>\n<h3 id=\"2\">ILE Visit Application<\/h3>\n<p>PIs and Research Collaborators who plan to conduct experiments or other joint research activities at ILE including participation in workshops must submit an application <strong><span style=\"color: #ff0000;\">at least one week before the business trip (visit)<\/span><\/strong>.<\/p>\n<ul>\n<li>Please fill out the <strong>\u201cEntry for Assignment\u201d<\/strong> Form on the ILE Collaborative Research Application System (https:\/\/collabo.ile.osaka-u.ac.jp\/signin).<\/li>\n<li>If there is a necessary change in your schedule, please contact your Liaison Scientist and the ILE Quadruple Matrix Center immediately. You will also need to submit a new application with your new schedule.<\/li>\n<\/ul>\n<h4 id=\"3\">Travel Expenses<\/h4>\n<ul>\n<li>PIs and Co-PIs (excluding undergraduate students) may use ILE Collaborative Research Funds for travel to and from the ILE.<br \/>\n\u203bNew research collaborators can be added through the ILE Collaborative Research Application System (https:\/\/collabo.ile.osaka-u.ac.jp\/signin).<\/li>\n<li>All necessary documents should be submitted to be able to use the ILE Collaborative Research Funds for travel expenses.<\/li>\n<\/ul>\n<h5><strong><span style=\"color: #0000ff;\">\u3010Documents to be submitted before the business trip (visit)\u3011<\/span><\/strong><\/h5>\n<p><strong>1.<\/strong><a href=\"#11\"><strong><span style=\"color: #008000;\">\uff08Form 1\uff09\u201cTravel Expenses Application Form\u201d<\/span><\/strong><\/a><\/p>\n<p style=\"padding-left: 40px;\">To be submitted (attached) when filling out the <strong>\u201cEntry for Assignment\u201d<\/strong> Form on the ILE Collaborative Research Application System (https:\/\/collabo.ile.osaka-u.ac.jp\/signin)<br \/>\n* Final Deadline: <span style=\"color: #ff0000;\"><strong>February 20, 2026<\/strong><\/span><\/p>\n<p><strong>2. You can also choose other accommodations (hotels, inns, rental apartments) and book them by yourself if you prefer to stay outside Osaka University.<\/p>\n<h3 id=\"5\">Purchases<\/h3>\n<ul>\n<li>The items to be purchased using the ILE Collaborative Research Funds are limited to those directly required to perform the tasks related to the ILE Collaborative Research.<br \/>\n(Furniture and equipment amounting more than 100,000 yen cannot be purchased using the ILE Collaborative Research Funds.)<\/li>\n<li>For English Correction Services and publication fees, copies of the corrections (to confirm the corrections, etc.) and the published paper should be submitted, respectively.<\/li>\n<li>Equipment such as cameras, PCs, tablets, monitor, TV, recording equipment, etc. shall be owned by Osaka University and shall be kept by ILE.<\/li>\n<\/ul>\n<h5><strong><span style=\"color: #0000ff;\">\uff1cDocuments to be submitted\uff1e<\/span><\/strong><\/h5>\n<ul>\n<li><strong><span style=\"color: #ff0000;\">Delivery slip<\/span><\/strong><\/li>\n<\/ul>\n<p style=\"padding-left: 40px;\">Specifying the delivery date and amount (including consumption tax)<\/p>\n<ul>\n<li><strong><span style=\"color: #ff0000;\">Invoice<\/span><\/strong><\/li>\n<li><strong><span style=\"color: #ff0000;\">Photo<\/span><\/strong><\/li>\n<\/ul>\n<p style=\"padding-left: 40px;\">Showing the item\/s and confirming the quantity, specifications, etc.<br \/>\nWill become optional in case a third party such as the administrative department of a university or research institution has a confirmation stamp on the delivery slip<\/p>\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li>The signature (or stamp) of the Liaison Scientist should be affixed, and the date of receipt of the item\/s should be indicated on the delivery slip.<\/li>\n<li>The delivery address should be &#8220;Osaka University Institute of Laser Engineering&#8221;.<\/li>\n<li>For delivery to Osaka University, the delivery should be confirmed by the Liaison Scientist.
